How can I create types of time off?
With Sesame, you can efficiently manage your team's time off and offer various types of time off, allowing employees to request them whenever they need to be absent from work.
Types of time off
There are five types of time off, each with its own characteristics and setup process:
- Holidays: paid rest days based on time worked.
- Absence: time off granted under rights recognized by current legislation.
- Leave from work: used in cases of physical or mental incapacity, or any situation that prevents the employee from working.
- Overtime balance: time off granted as compensation for extra hours worked.
- Day off as compensation for working on a public holiday: time off generated for working on a public holiday.
How to create Absences or Leaves from work
- Go to Configuration >> Calendars >> Time off.
- Click on "Create".
- Choose the type of time off: Absence or Leave from work.
- Configure the options based on the selected type.
-
Absence:
When creating an Absence time off type in Sesame, you can customize the following settings:
- Compensation: choose whether time off is compensated in days or hours.
-
Time limit: select yes/no.
- If you choose "yes", specify whether the time renews by fiscal year or contract year.
- Allow accumulation of time: decide whether unused time can be carried over to the next period.
- Is it paid?: indicate if the absence is paid or unpaid.
- Allow half-day requests: choose whether employees can request half-day absences.
- Applicable only on working days: set whether the absence can only be used on business days (excluding weekends and holidays).
- Configure as private time off: if enabled, time off requests of this type will be hidden from other users.
- Enable supporting document: require employees to upload a document (e.g., medical certificate) when requesting this type of absence.
- Block by date range: restrict when this time off type can be used by setting a blocked date range.
-
Leave from work:
- Time limit: select yes/no.
- With or without a defined period.
- Configure as private time off: yes/no.
- Enable supporting document: yes/no.
- Block by date range: restrict when this time off type can be used by setting a blocked date range.
Assign the type of time off to your employees
Once created, the new type of time off will appear on the general Time off list.
- Click on the "Employees" column of the desired type.
- If there are no employees assigned yet, you'll see "No people assigned".
- If there are already employees assigned, a number will be shown.
- Finish the process to save your changes.
Assigned employees will then be able to request this time off directly from their Sesame account, whether using the web platform or the mobile app, by going to the "My time off" section.
