What are time margins and how do I create them?

Time margins give flexibility to the overtime calculation, as they tell Sesame how many minutes of margin you allow in your employees' clock ins and clock outs without affecting their working day or generating overtime.

How to create a time margin step by step

Go to Configuration >> Time management >> Time margins and click "+Add". Next, you will need to choose which type of margin you want to create:

  • Tolerance. These are the minutes of flexibility within the schedule or shift; they do not reduce the employee's working time. For example, tolerating up to 10 minutes of lateness at clock in without it counting against them.
  • Overtime. These are the minutes that must be exceeded before extra time worked starts counting as overtime. For example, only counting as overtime the time exceeding 30 minutes after clock-out time.

Use the tolerance margin to give flexibility without penalising (for example, a few courtesy minutes at clock-in) and the overtime margin to decide when it becomes worthwhile to record extra time.

Create a tolerance margin ⏯️

  1. Give the margin a name, for example, "Morning clock-in margin".
  2. Configure the margin by setting:
    1. The margin time in hours and minutes (minimum 1 minute). In this step, you can also decide whether all time not worked will be deducted, including the margin (toggle on), or whether tolerance only starts counting after the margin is exceeded (toggle off).
    2. How the margin applies, and when: after clock-in time, before clock-out time, or both (shared margin).
    3. Margin conditions, for example, whether it also applies when returning from a break or whether exceeding the tolerance time counts as a late arrival.
  3. Click "Save," and you're done!

Tolerance margins only work if the employee has a schedule or shift assigned, as they are measured against that reference.

Create an overtime margin ⏩

  1. Give the margin a name, for example, "Overtime 30 min clock out".
  2. Configure the margin by setting:
    1. The margin time in hours and minutes (minimum 1 minute). In this step, you can also decide whether you want to add to overtime all the time worked, including the margin (toggle on), or whether overtime only starts counting after the margin is exceeded (toggle off).
    2. How the margin applies, and when: once the employee completes their working day, or based on their clock in/clock out schedule or assigned shift. If you choose the second option, you can also decide which clock-ins it applies to: before clock in, after clock out, the first or last clock in, etc.
  3. Click "Save," and you're done!
