How do assignments work in Sesame?
In Sesame, assignments work the same way across all sections. You’ll find two types of assignment depending on your needs:
- Individual assignment: allows you to manually assign employees one by one.
This means the lists you create will be static, they will not update automatically, and you’ll need to add new employees each time it’s necessary.
You can use these filters to quickly and easily find what you need:
- By employees: show all, selected only, or unselected.
- By workplaces.
- By departments.
- By groups and subgroups.
- Automatic assignment: allows you to manage assignments in bulk and dynamically.
This means that if you make changes to a group or add someone new, the assignments will automatically update for everyone included in it.
How to use automatic assignment step by step
Using it is very simple, and it will help you save time and avoid complications.
Before you start: the assignments you’ve already created will appear as selected ✅, both in individual and automatic assignment.

Step 1. Open the assignment modal and go to the "Automatic" section. There, you can assign by groups: workplaces, departments, groups, or companies.
If needed, you can also combine several options at once.

How to assign depending on the grouping
Workplaces
You can select all at once or choose only the workplaces you want to assign (e.g., Mexico City, Bogota, Lima…).
These workplaces depend on what you’ve created in: Configuration >> Workplaces.
Departments
You can select all at once or choose only the departments you want to assign (e.g., Customer Service, Marketing, Finance…).
These departments depend on what you’ve created in: Configuration >> Departments.
Groups and Subgroups
Keep in mind that you cannot select subgroups if the main group is not selected.
Option 1. Select the group with all its subgroups: when selecting the main group, all subgroups will automatically be selected.
Option 2. Select the group but exclude some subgroups: if you want to deselect certain subgroups, you can do so manually while keeping the main group selected.
Option 3. Select only the group without subgroups: click the three dots next to the main group and choose "Deselect subgroups". This will uncheck all associated subgroups.

These groups and subgroups depend on what you’ve created in: Configuration >> Groups.
Companies
When you select a company, all employees within it will automatically be included.
These companies depend on what you’ve created in: Configuration >> Advanced configuration >> Company group.
Step 2. Apply the filters you need. Use the filters on the right-hand side to make searching and assigning easier.
You can filter by employees: show all, show selected only, show only unselected.

⚠️ Important: if you want to know how many employees you’ve selected, you can check the number at the bottom left, under "Total employees".

Remember: each time you select a grouping (Workplace, Department, Group, or Company), all employees belonging to it will automatically be selected.
Step 3. Preview your assignments. Open the preview next to the Save button. From there, you can check that all changes and new assignments are correct and, if needed, make modifications before confirming them.
Click "Save" if you want to apply the changes and complete the assignments.
Step 4. On the main assignments screen, click the Save button, and you’re done! Your assignments will be successfully created and sent.
If the Save button appears disabled, it means you’ve already saved and sent the assignments correctly from the preview.

Remember: you must save before closing the modal; otherwise, the changes and assignments will not be recorded.
